The purpose of this chapter is to improve the understanding of what makes virtual teams effective. This is done by identifying the best practices for individual team members, the best practices for leaders and sponsors of virtual teams, and the best practices for the organizations that the virtual teams are a part of. Best practices in these categories were identified from: (1) empirical evidence from case studies of six existing virtual teams; (2) the existing literature related to virtual teams; and, (3) traditional team (i.e., collocated) and telework literature. The chapter concludes with implications for organizations and potential research directions.

In this section, we will discuss best practices for virtual teams. We also will talk about the tools available for use by virtual teams as well as some of the techniques we’ve seen employed for team building within virtual teams. We’ll include a brief discussion of situations where virtual meetings might be preferable to face-to-face interactions.

There has been considerable growth in the use of Virtual Teams in the past decade, and further growth is broadly assumed. Researchers investigating Virtual Teams describe problems these teams encounter, assert that training for virtual team assignments is necessary, and offer suggestions on the issues that such training should address. Further evidence of the training need is that a fortune 100 company employed the primary author to develop the initial version of a virtual team training simulation for their internal use. The 'Virtual Team Challenge' is being used in the Rose-Hulman Project Management course. Participants manage a simulated project for three hours. To successfully complete the project within schedule, they must avoid or resolve problems typically encountered by virtual teams. Participants receive advice and are guided to adopt best practices as defined by our literature review and those offered by the client.

The use of teams as fundamental building blocks in organizations is growing (Furst, Blackburn & Rosen, 1999), as is the frequency of teams to be distributed geographically (which we call virtual teams). Virtual teams are now being used by many organizations to enhance the productivity of their employees and to reach a diversity of skills and resources (Majchrzak, Malhotra, Stamps & Lipnack, 2004). Virtual teams are groups of individuals who work on interdependent tasks, who share responsibility for outcomes, and who work together from different locations. While the use of virtual teams is more common in today’s organization, the practices that make virtual teams most effective are not fully understood and challenges remain (Markus, 2004).

Virtual teams are now being used by many organizations to enhance the productivity of their employees and to bring together a diversity of skills and resources (Gignac, 2005; Majchrzak, Malhotra, Stamps, & Lipnack, 2004), and it has been suggested that this will become the normal way of working in teams in the near future (Jones, Oyund, & Pace, 2005). Virtual teams are groups of individuals who work together from different locations (i.e., are geographically dispersed), work at interdependent tasks, share responsibilities for outcomes, and rely on technology for much of their communication (Cohen & Gibson, 2003). While the use of virtual teams is more common in today’s organization, working in these teams is more complex and challenging than working in traditional, collocated teams (Dewar, 2006), and success rates in virtual teams are low (Goodbody, 2005). This article suggests best practices that organizations and virtual team members can follow to help their virtual teams reach their full potential. In this article, virtual team best practices are identified from three perspectives: organizational best practices, team leadership best practices, and team member best practices. Ideas for best practices were identified from three sources: six case studies of actual virtual teams (Staples, Wong, & Cameron, 2004); the existing literature on virtual teams; and the existing literature on traditional (i.e., collocated) teams and telecommuting (i.e., research on virtual work at the individual level).

Objective To provide insights for organizations that must rapidly deploy teams to remote work. Background Modern situations, such as the COVID-19 pandemic, are rapidly accelerating the need for organizations to move employee teams to virtual environments, sometimes with little to no opportunities to prepare for the transition. It is likely that organizations will continually have to adapt to evolving conditions in the future. Method This review synthesizes the literature from several sources on best practices, lessons learned, and strategies for virtual teams. Information from each article deemed relevant was then extracted and de-identified. Over 64 best practices were independently and blindly coded for relevancy for the swift deployment of virtual teams. Results As a result of this review, tips for virtual teams undergoing rapid transition to remote work were developed. These tips are organized at the organization, team, and individual levels. They are further categorized under six overarching themes: norm setting, performance monitoring, leadership, supportive mechanisms, communication, and flexibility. Conclusion There is a significant deficit in the literature for best practices for virtual teams for the purposes of rapid deployment, leaving it to organizations to subjectively determine what advice to adhere to. This manuscript synthesizes relevant practices and provides insights into effective virtual team rapid deployment.
